When you need to protect a sensitive email or attachment, use encryption or a secure mail service. Sending sensitive information in a regular email is not allowed, as plain email does not provide reliable protection for message content. At Jamk, Microsoft Purview Message Encryption is used to secure emails. It ensures that only the intended recipient can decrypt and read the message and its attachments.

Instructions for staff

To send an encrypted email from your Jamk email account, staff members must use an data classification label that includes email encryption.

As a general rule, emails sent within Jamk do not need to be encrypted. Therefore, always choose the appropriate classification label according to the sensitivity of the information in the message. The data labels listed below automatically apply Microsoft Purview Message Encryption, so no additional encryption or other protection mechanism is required.

Secret (1R) – Recipients can only be internal Jamk addresses. Forwarding, printing, and copying are also restricted.
Confidential – Restricted (2A) – Recipients can be either internal or external.

Instructions for students

Students cannot use data classification labels that automatically enable email encryption. As a general rule, emails sent within Jamk do not need to be encrypted.

However, if a student needs to send sensitive information securely, encryption can be enabled manually from the message composition window by selecting Options > Encrypt.

Sending encrypt email to Jamk

Anyone can use the Secure Mail service to send sensitive messages to Jamk via Secure Mail.

When using the service, the sender address cannot be a Jamk email address. Instead, you must use another email address, such as a personal email account. It is also possible to include attachments with the message.

Receiving the encrypt email

If an encrypted message has been sent using Microsoft Purview Message Encryption (with data classification label), the recipient can decrypt and read the message directly from Outlook.

If the recipient uses an email client other than Outlook, or if the message has been encrypted using Deltagon or any other encryption method, the recipient will only receive instructions and a link to open the actual message. The recipient must authenticate themselves before they can access and read the message.
