Security guide for traveller

Jamk encourage national and international collaboration but there are few things that should be kept in mind while on abroad. Here is TOP-10 list that describes good manners to protect your safety and privacy on your travels. You might be interesting due your professional position, network connections, data, or devices you carry with you. With careful operation you can ensure your own and whole organization’s security. Precautions are especially important when you travel to undemocratic countries. If you keep in mind these few things, you can minimalize risks and prevent leakage of confidential data. You are NOT ALLOWED to take your dedicated working laptop or mobile device with you outside of the EU/ETA area. Helpdesk has specific travel devices which has stricter security and privacy settings. Before your trip inquire travel device from Helpdesk by service request. Installed software on travel laptops are:

  • Windows 11
  • Edge browser
  • Office desktop apps (Outlook, Word, PowerPoint, Excel etc.)
  • EduVPN (For secure internet-connection)
  • Remote Help (for remote support)
  • OneDrive and other information system are available only via browser

If despite these precautions you lose your device, it gets stolen or if you suspect data security breach:

  • Before your trip make sure that all your devices has latest security updates.
  • Check updates also for your personal devices

  • Jamk’s ICT-services has information about your working laptop and managed mobile phones. But if you have older mobile phones, tablets, or personal devices with you, make sure you have saved all information. These details are necessary in case of theft
  • You can check phone’s IMEI from devices settings -> About device

  • Network roaming is prevented by default on Jamk’s mobile subscription. Contact Helpdesk before your trip so they can make changes on your mobile subscription. Remember also to ask Helpdesk to restore default settings after your trip if you don’t need roaming again any time soon
  • On aboard disable mobile data connection when you don’t need it. Network roaming can be expensive especially outside of EU/ETA area
  • Become clear about most secure and cost efficiency solution to use internet while abroad. Network roaming outside EU/ETA countries can be really expensive so if possible, use free WLAN-connections. If you’re using open WLAN in hotels, airports, coffee shops etc. make sure that you have VPN connection on and you’re using secure connections (https / ssl)
  • Avoid handling confidential data if not necessary. For example, online banking accounts.

  • Make sure that you have all your files backed up in case you lost your device or it get stolen. You can back up your files for example on OneDrive
  • You might also want to back up all your important files, contacts and photos form your mobile device too
  • If you use USB-sticks during travel, you are not allowed to plug the USB-stick into your own laptop if it’s used on foreign device. (Expect for specific travel laptops, which are always wiped after each trip)

  • Check your device settings that you’ve set up screen lock and the lock delay is short enough
  • Have your laptop on hand luggage and transport it on soft, protective sleeve
  • Return all devices that you borrowed back to Helpdesk as soon as possible after the trip. Note that all data on devices will be erased, so make sure you have copy of all the important data

  • Always lock your device (Ctrl + Alt + Delete) when you’re not using it
  • Do not borrow your device or login credentials to anyone
  • Avoid using your login credentials on other people’s devices. If you do, use private/incognito window, remember to log out and close the browser

  • Always cover your screen and keyboard when you’re logging in. Also make sure that no one has visual on your screen behind your back
  • Pay attention to what you’re talking, where and who might be listening.
  • Note that network connection’s provider might have access to all your data traffic and phone calls.

  • Always use secure connection (ssl, https and vpn) when possible. Jamk has licenses available for eduVPN service which can be installed on laptops and mobile devices. If you cannot install or use it, query another device from Helpdesk
  • Do not have confidential conversational on public places

  • Disable Bluetooth if not needed
  • Disable hotspot and network tethering.
  • Disable voice control / speech recognition
  • Disable WLAN and location services when not needed
  • Disable NFC

  • Always consider is it necessary to post on social media information and picture about your trip. If you decide to post something prefer posting about what happened, not about what’s going to happen. Never share detailed location information and always ask permission to post information about other people
  • If stranger likes to make acquaintances with you and discuss about your projects, take into consideration that the inquiry might not always be sincere. Evaluate what to tell a stranger
  • There’s always possibility that people are trying to affect you with gifts. Never use electronic gifts for ex. memory sticks, chargers, cables or USB-flash lights. There is always possibility that gift has a malware that is used to gather information about you and our organization
