Examples about reservations

Example 1: Using administrative groups in suggestions for time and location and in timetable preparation

An arrival group is divided into two administrative groups for timetable preparation purposes. For example, TLS19S1 will be divided into TLS19A and TLS19B groups. If the implementation pertains to all students, both administrative groups are to be selected in the suggestions for time and location. A mere arrival group is not alone sufficient. An arrival group can also be included in the group if the students are intended to see the arrival group’s course timetable.

Example 2: Making overlapping reservations for a room

A big event will be arranged in October and all the rooms in the campus were already reserved during the spring. When course timetables are made using a recurring reservation, the system warns of an overlap during the week concerned and does not allow room to be reserved. There are two options available to proceed:

Option 1

  • Keep the Plan and make teaching reservations view open in one browser window.
  • Keep the Reservation listing and mass management view open in another window.
  • Make the teaching reservation normally in the Plan and make teaching reservations view and set the reservations as recurring for the desired room.
  • The reservation indicates the date for which an overlap occurs and no reservation can be made. Make note of the date.
  • Remove the room from the reservation and make it without a room. Save.
  • When the reservation has been made, search for the reservation concerned using the Reservation listing and mass management feature.
  • Add the desired room using bulk edit for the days that are available.
  • Leave the reservation you already made and made a note of unedited, so that it will remain without a room or you can change the room concerned to virtual room

Option 2

  • Make the teaching reservation normally in the Plan and make teaching reservations view and set the reservations as recurring for the desired room.
  • The reservation indicates the date for which an overlap occurs and no reservation can be made.
  • Remove your selection from the date concerned so that no reservation will be made.
  • Make reservation without a room or a virtual room reservation for the date concerned manually.

Example 3: Adding days to an existing reservation

Days cannot be added directly to an existing reservation. A new reservation must be made and named in the same way if it is not a classroom booking. Reservations can be found most easily through Reservation listing and mass management by running a search by the implementation or name of the reservation. If there are a lot of reservations of this type, it is advisable to save them as separate searches.

Example 5: The reservation includes several rooms for the same day that have been reserved at different times

It is advisable to reserve each room as a separate reservation to get the times right. Name your reservations consistently so that you can save your search directly in Reservation listing and mass management.
